Using the calendar
The calendar gives you a clear picture of your day: who's coming in, with which provider, and when. You can move between dates, switch between Day, Week, and Month views, and pull your latest schedule in from your practice management software (PMS).
The layout
The screen has two parts:
- The left sidebar holds an Add Appointment button, a small month calendar for jumping to any date, your list of Providers (each with its own color), and a Manage section with links for Providers, Appointment Types, Office Hours, and Office Closures.
- The main area shows the schedule itself, with a toolbar across the top for switching views and changing the date.
Each provider has a color. In Day view, that color marks the provider's column and forms the left edge of every appointment block, so you can tell at a glance whose patient is whose.
Switching views
Use the Day / Week / Month toggle at the top left to change how much you see at once:
- Day — a single day, split into provider columns down the page with appointments laid out by time.
- Week — the full Sunday-to-Saturday week, one column per day.
- Month — a month grid, with up to three appointments shown per day and a "+N more" note when a day is busier than that.
In Month view, click any day to drop straight into the Day view for that date.
Moving around the schedule
- Use the left and right arrows beside the date to step backward or forward. The step matches your view: one day, one week, or one month at a time.
- Click Today to jump back to the current date. (It's greyed out when you're already on today.)
- Use the small month calendar in the sidebar to leap to any date. Its arrows move month by month, and clicking a date selects it. If you're in Month view when you pick a date there, the calendar switches to Day view for that day.
In Day view, a thin line marks the current time so you can always see where you are in the day. The view also opens scrolled to your first appointment, so you're not staring at an empty morning.
Reading an appointment
Each appointment block shows the patient's name, the start time, and the procedure (when one is set). In Day view, the block's color also reflects its status:
- Scheduled / Confirmed — a neutral block.
- Checked in — the patient has arrived.
- In chair — highlighted so the active patient stands out.
- Completed, Cancelled, or No-show — muted, so finished or dropped visits don't compete for attention.
In Month view, a small number in the top corner of each day tells you how many appointments are booked that day.
How the calendar stays in sync
Your calendar reflects what's in your practice management software. There are two ways appointments arrive:
- Importing your schedule. When you're running the Rebrief desktop app and your PMS is open, a banner offers to import today's schedule. Rebrief detects which PMS is running and pulls in the day's appointments (this usually takes about 30 to 90 seconds). When it finishes, you'll see a short confirmation with how many appointments came in, and the new appointments fill the grid.
- Automatic bookings. Appointments booked through Rebrief, such as those made by the phone assistant, appear on the calendar on their own. You don't need to import for those to show up.
Note: The import banner only appears in the Rebrief desktop app, and only when there's something to do, such as no schedule loaded yet, a fresh import to confirm, or an error to retry. If no PMS is detected, open it and click Re-check. If more than one PMS is running, you'll be asked to pick which one to import from.
Tip: If a day looks empty when it shouldn't, check that you've imported the schedule for that date and that the provider shows up in your sidebar Providers list. Appointments only appear in a provider's column when that provider is listed.
