Managing patients

The Patients area is where every person in your clinic's workspace lives. From here you can look someone up, open their record to see their visit history, and add a new patient when you need one.

Find a patient

  1. Open Patients from the dashboard.
  2. Browse the list. Each row shows the patient's Name, DOB (date of birth), Email, and Phone. Names are listed last name first.
  3. Click View at the end of a patient's row to open their full profile.

Note: If a field such as email or phone is blank, it shows a dash. That just means the detail hasn't been filled in yet, not that anything is wrong.

Open a patient profile

The profile shows the patient's basic details across the top: name, date of birth, sex, email, and phone (any detail you haven't entered is simply left out). Below that, an AI summary sits above the patient's History — one chronological timeline of everything on file for them: appointments (imported from your practice software, booked by voice, or charted in Rebrief), communications, and clinical notes. Filter chips let you narrow it to Appointments, Communications, Clinical, or Other, or show All. Notes your practice software attaches to a visit appear inside that appointment's row.

Add a new patient

  1. On the Patients page, click + New Patient.
  2. Fill in the form. First name and Last name are required; Date of birth, Sex, Email, and Phone are optional but worth adding when you have them.
  3. Click Create Patient to save, or Cancel to discard.

The new patient appears in the list right away.

Tip: You don't have to capture everything up front. Create the patient with a name now and add contact details later.

How patients connect to your charting

Patients are the starting point for clinical work, not the end of it. Once a patient exists, their profile is where you begin and revisit charting:

  • Open a patient's profile and click + New Appointment to start charting for them. This opens the live charting screen where you record the note, odontogram, and perio chart.
  • Every appointment you chart for that patient is added to their History timeline, newest first, with the date, the charting settings used, and a status such as active or completed.
  • Click any appointment you charted in Rebrief to reopen it.

That history is how a patient's record builds up over time: each visit you chart adds another entry to their profile.

Patients brought in from your practice software

If your clinic connects Rebrief to your existing practice management software through the Rebrief Bridge, patients from that system show up in this same list alongside ones you add by hand. You don't manage two separate lists.

When no patients have loaded yet, the empty Patients page offers an Import patients from Open Dental button (this appears only when a connection is available). Importing reads in patients from your practice software so they're ready to chart.

Note: An import needs your practice software open and running, and it can take around 90 seconds to finish while Rebrief reads through the schedule. When it's done, the Patients list refreshes on its own. You can also start an import from the sync control in the sidebar.
