Understanding roles & permissions

Rebrief organizes everyone around your clinic. Who you are in that clinic decides what you see when you sign in and what you're allowed to do. This article walks through each level so you know where you fit.

Your clinic owns your data

Everything in Rebrief lives inside a clinic: patients, appointments, clinical notes, odontograms, and templates all belong to one clinic's workspace.

Because of that, the people who can see and work with that data are the people who belong to that clinic. Rebrief always ties your access to the clinic on your account, so one clinic's records are never mixed in with another's.

Note: When you finish onboarding, your account is joined to a clinic's workspace. That membership is what lets you open and edit your clinic's records.

The levels of access

There are two in-app levels day to day, plus the Rebrief team behind the scenes.

Members

This is most people in a practice: dentists, hygienists, assistants, and front-desk team members.

As a member of a clinic, you get the full clinical app. You can:

  • Open your Dashboard, Calendar, and Appointments
  • View and work with Patients and their charts
  • Capture and edit clinical notes and odontograms during an appointment
  • Use the Assistant and your clinic's Templates

Everyone who belongs to your clinic shares the same set of records, so the work one team member does is visible to the rest of the clinic. There isn't a way to set different permissions per person today — every member has the same access.

Clinic admin

One person in each clinic is set as the clinic admin. The clinic admin can do everything a member can, plus manage who else has access.

You'll find this in Settings, in a section called Team Access. From there the clinic admin can:

  • Invite a new teammate by email
  • See the Clinic members list of everyone with access
  • Remove someone who has left

If you don't see the Team Access section in Settings, you aren't set as the admin for your clinic.

Tip: You can't remove yourself or the clinic admin from the members list. That protects your clinic from accidentally being left without anyone in charge of access.

The Rebrief team

Above every clinic sits the Rebrief team. They don't belong to any single clinic, and they handle the account-level things that can't be changed from inside the app.

That includes who owns a clinic account and transferring the clinic admin role. Those aren't settings inside a clinic's own workspace. If you need ownership or the admin role changed, that's a request for Rebrief support.

What "belonging to a clinic" means

Belonging to a clinic is what unlocks the app for you. When your account is part of a clinic, you can read its records and create new ones: notes, patients, charts, and more.

If your account is part of a clinic but something is briefly out of sync, Rebrief repairs it the next time you sign in, so you usually won't notice. If you can open records but get an error when saving something new, signing out and back in often clears it.

Disabled accounts

An account can be turned off. If yours has been disabled, you'll be signed out and see a message like:

This account has been disabled. Contact your clinic administrator.

A disabled account can't open or change any records. If you see this and believe it's a mistake, contact your clinic admin, who manages who has active access in your clinic.
