Inviting staff

Bringing a dentist, hygienist, assistant, or office admin onto Rebrief takes one email invite. You send it from your clinic's settings, they follow a link to set up their account, and they land in your clinic's workspace ready to work.

Note: Only clinic admins can invite people. If you don't see the Team Access section described below, you don't have admin access for this clinic — ask one of your clinic admins to send the invite.

Send an invite

  1. Open Settings from the dashboard.
  2. Find the Team Access section.
  3. Enter the colleague's Name (optional) and their Email address (required).
  4. Select Send invite.

When it sends successfully, you'll see a confirmation that the invite went to that email address, and the form clears so you can invite the next person right away.

The Team Access section also lists your current Clinic members, so you can see who already has access and whether each person is a clinic admin or a regular member.

Tip: Double-check the email address before sending. The invite is tied to that exact address — your colleague accepts using the email you entered, and they can't change it during setup.

If the email already has an account

If someone already has a Rebrief account under that email, the invite won't send and you'll see a message letting you know. In that case, ask them to sign in with their existing account instead.

What the recipient sees

Your colleague receives an email with a link to join your clinic. A few things to pass along if they ask:

  • The invite link is valid for 7 days. After that it expires and you'll need to send a fresh one.
  • The link is single-use — once they finish setup, it stops working.

If their link has expired or was already used, they'll see a clear message telling them so. Just send a new invite from Team Access.

How they accept and join your clinic

When your colleague opens the invite link, Rebrief shows an Accept your invite page. Here's what they do:

  1. Confirm their email — it's already filled in from your invite and can't be edited.
  2. Enter or confirm their full name.
  3. Create a password (at least 8 characters).
  4. Choose their default notation — FDI or Universal.
  5. Choose their default probing protocol — Maxillary First, Facials First, or a custom order.
  6. Select Accept invite.

That's it. Their account is created, they're added to your clinic, and they're taken straight to the dashboard. The notation and probing choices become their personal defaults and don't affect anyone else on the team.

Note: If your colleague is already signed in to a different Rebrief account in the same browser, accepting the invite signs them out of that account and into the new one. That's expected.

Managing access later

Back in Team Access, you can see everyone in your clinic and remove a member when someone leaves. You can't remove yourself, and clinic admins can't be removed from this list. To invite someone new at any time, just repeat the steps above.
