Managing your team
Your team is everyone who can sign in to your clinic's workspace in Rebrief. As the clinic admin, you can invite new people, see who already has access, and remove someone who has left. This guide walks you through each of those.
Note: Team management is only available to the clinic admin. If you don't see the section described below, you aren't set as the admin for your clinic. Reach out to Rebrief support if that needs to change.
Where team management lives
Team management lives in Settings, in a section called Team Access.
- Open Settings from the main navigation.
- Scroll down to the Team Access section.
If you're the clinic admin, you'll see a form for inviting someone and a Clinic members list of everyone who currently has access.
Invite someone to your clinic
People join your clinic by accepting an email invite that you send.
- In Team Access, enter the person's Name (optional) and their Email address.
- Select Send invite.
Rebrief emails them a personal invite link, and you'll see a confirmation once the invite goes out.
Tip: Invite links are single-use and expire after 7 days. If someone doesn't accept in time, just send a fresh invite from the same form.
A couple of things to know:
- You can only invite an email that doesn't already have a Rebrief account. If the address is already in use, you'll see a notice and no invite is sent — ask that person to sign in instead.
- The invite is tied to the email you entered, so the new account always uses that exact address.
What happens when they accept
When your invited teammate opens the link, they'll:
- Confirm their full name and create a password (at least 8 characters).
- Choose their default tooth notation (FDI or Universal) and default probing protocol.
- Select Accept invite.
That creates their account, joins them to your clinic, and signs them in. From that point on they share your clinic's patients, appointments, and notes.
View and remove members
The Clinic members list shows everyone in your clinic with their name, email, and role:
- Clinic admin — the person who manages the team. That's you.
- Member — everyone else.
To remove someone who no longer needs access, select Remove next to their name and confirm. They immediately lose access to your clinic's workspace.
Note: You can't remove yourself, and you can't remove the clinic admin. This protects your clinic from accidentally being left without an admin.
What roles do today
Right now there are two levels of access: the clinic admin, who manages the team, and members, which is everyone else. Every member shares the same access to your clinic's patients and records.
There isn't yet a way to set per-person permissions, change who the clinic admin is, or assign custom roles from inside the app. If you need to transfer the admin role or have questions about ownership of your clinic account, contact Rebrief support and we'll help you sort it out.
