Generating & sharing documents
Rebrief can turn an appointment into a finished, shareable document, like a referral letter or a summary built from one of your templates. This guide walks you through generating a document, editing it, and sending it securely to a patient or colleague.
Where your documents live
Open Documents from your dashboard to see every document your clinic has generated. Each one appears as a card showing its title, the patient's name, a short preview, and the date it was created.
Use the controls at the top of the list to find what you need:
- Time filter — show documents from this month, this week, or all time.
- Sort — order by newest first or oldest first.
- Search — type a patient name, title, or text from the document to narrow the list.
When you open Documents from inside an appointment, the list is automatically scoped to just that appointment, so these filters are hidden.
Generating a document from an appointment
You create documents from within an appointment, where the note and transcript live.
- Open the appointment you want a document for.
- In the notepad area, select Documents.
- Pick a document type. Each type is a template that shapes how the document reads. Select the Select button next to the one you want.
- (Optional) Add Custom Instructions to guide the tone, format, or what to include or leave out.
- Select Generate.
Rebrief drafts the document from the appointment's note and transcript, follows the template you chose, and then opens it for you to review.
Tip: Already generated documents for this appointment? Use the arrow next to the Documents button to jump straight to them. It stays greyed out until at least one document exists.
Opening and editing a document
Select any card in the Documents list to open it. You'll see the editable document at the top and, below it, a read-only copy of the appointment note for reference.
To make changes:
- Type directly in the editor to add, remove, or rewrite text.
- Select a passage of text to bring up AI editing tools that help you refine it.
Your work saves automatically as you go. A small status line shows Saving... while it works, then Last saved with the time once it's done, so there's no separate save button to remember.
If a document is no longer needed, select Delete. You'll be asked to confirm, and the deletion can't be undone.
Sending a document securely
When the document is ready, you can share it as a password-protected, read-only link.
- With the document open, select Send.
- Enter the recipient's email address.
- Enter a password the recipient will need to open the link.
- (Optional) Tick Send me a copy (CC) to receive the same email.
- Select Send.
Rebrief emails the link to the recipient. A few things to keep in mind about how sharing works:
- The recipient can view but not edit the document.
- The link shows a live view, so any edits you make later will be visible to them.
- The password is not sent in that email. Share it with the recipient through a separate channel, such as a phone call or text.
By sending, you confirm you're authorized to disclose the information to that recipient. Once the email goes out, you'll see an Email sent confirmation.
Tip: Because the shared link stays live, you can fix a typo or add a detail after sending and the recipient will see the update without needing a new link.
