Starting an appointment

2 min readFor clinical staff

Starting an appointment in Rebrief takes a single click. Rebrief sets up everything you need for the visit and opens the live charting screen, ready for you to work and talk.

Start a new appointment

  1. In the left sidebar, find the New Appointment button (the one with the plus icon).
  2. Click it. The button briefly shows Starting... while Rebrief sets things up.
  3. You're taken straight to the live charting screen for the new visit.

That's the whole flow. You don't need to fill anything in first.

Tip: If the New Appointment button is greyed out, your account may not be linked to a clinic workspace yet. Ask your office admin to confirm your clinic access.

What Rebrief creates for you

When you start a new appointment, Rebrief automatically sets up:

  • A new appointment to hold everything for this encounter.
  • A clinical note, blank and ready for the visit's documentation.
  • A tooth chart so charting findings have somewhere to land.

You start with no patient attached. Add the patient's name and date of birth in the fields at the top of the charting screen, and Rebrief saves them as you go.

The live charting screen

Once the screen opens, you'll see:

  • Patient details at the top — editable name and date-of-birth fields, alongside the appointment controls.
  • The clinical note on the left.
  • The tooth chart on the right.
  • A draggable divider between the note and chart — drag it to give either side more room.

How the ambient scribe arms itself

Starting an appointment this way automatically turns the ambient scribe on for the new visit. There's nothing extra to switch on — once the charting screen has loaded, the scribe begins listening and the header's divider ripples to show it's capturing.

As the visit unfolds, the scribe drafts the clinical note and updates the tooth chart from what's spoken, so you can keep your hands free.

You stay in control at any time:

  • The header has a single capture control: End while the scribe is listening (stops capture and completes the visit), and Resume once stopped (starts listening again).
  • The scribe's status also appears in the sidebar while it's running.

Note: The scribe arms itself only for an appointment you started with New Appointment. Opening an existing visit does not switch it on automatically — use the Resume control there if you want to capture.

Ending the appointment

When the visit is finished, use the End button in the header. Rebrief pauses the scribe, marks the appointment complete, and returns you to the dashboard. Your note and tooth chart save on their own throughout the visit, so nothing is lost when you leave the screen.
