Calls & voicemail
The Calls page is where you review every phone call your AI receptionist handled. For each call you can see what was said, listen to the recording, and check the outcome — whether an appointment was booked, a message was taken, or the call was handed off.
The Calls list
Open Calls to see your recent calls, newest first. Each call appears as a card showing:
- The caller's number (or "Unknown caller" if the number wasn't available)
- When it happened and how long it lasted
- An outcome label — a colored tag summarizing what the call accomplished
- A short summary of the call, when one is available
The outcome labels you may see are:
- Booked / Rescheduled — an appointment was scheduled or moved
- Canceled — an appointment was canceled
- Message taken — the receptionist captured a message for your team
- Emergency — the call was flagged as urgent
- Transferred — the call was handed off
- Call / Other — anything that doesn't fit the categories above
Note: If you don't have any calls yet, the page will tell you. Calls show up here automatically once your AI receptionist answers them — there's nothing to set up on this page.
Select any card to open the full details for that call.
Reviewing a single call
The detail view opens with the caller's number, the time, and the call length at the top, along with the outcome tag. Use Back to calls to return to the list at any time. The rest of the page is split into four areas.
Recording
Play back the audio of the call right in your browser using the standard play, pause, and seek controls. If no recording was captured, this section will tell you none is available.
Tip: Recording links are time-limited. If a recording won't play, the link may simply have expired — the transcript below stays available regardless.
Transcript
Read the conversation as text, with each turn labeled Agent (your receptionist) or Caller. This is the fastest way to scan what was discussed without listening to the whole recording. If no transcript was captured, the section will say so.
Actions taken
This is a list of what the receptionist actually did during the call — for example, looking up a patient or booking an appointment. Each step shows what was attempted and the result, marked with a checkmark when it succeeded or an X when it didn't (such as a patient that couldn't be verified). If the receptionist only spoke and used no tools, the section will say so.
Reasoning
Here you'll find a plain-language summary of the call along with the receptionist's spoken turns, so you can follow how it arrived at the outcome.
Note: This reflects what the receptionist said and the steps it took during the call. It's reconstructed from the call itself, not a separate internal log.
How this connects to the receptionist
Everything on the Calls page is produced by your AI receptionist as it answers calls for your clinic. When it books an appointment, takes a message, or flags an emergency, that result becomes the outcome you see in the list, and the transcript, recording, and actions are saved for you to review afterward. Use this page to confirm bookings landed correctly, follow up on messages, and keep an eye on how your calls are being handled.
